What Is Cohorts?

Cohorts is a tool used to recruit, manage, and reward individuals ("Cohorts Members") who agree to provide feedback to assist in the development of software created by Ad Hoc LLC, a software development company.  Ad Hoc is focused on delivering and operating fast, stable, and well-designed services on behalf of U.S. federal and state government that enables agencies to provide transactional and informational services to consumers. Ad Hoc collaborates closely with government partners to deliver software that actually works.

Ad Hoc values its Cohorts Members and respects their privacy.

What Information Does Cohorts Collect?

Cohorts (also referred to as "we" in this Privacy Policy) collects the information voluntarily provided by Cohorts Members (also referred to as “you” in this Privacy Policy) online, on paper, in person, via phone, or otherwise.  This includes name, email, password, postal mailing address, and any other information you provide when you register on the website, as well as information you provide in response to requests for information associated with specific software development projects for which we may solicit your participation and/or feedback.  We may request demographic information from you that is relevant to our selection of Cohorts Members for particular feedback sessions or is important to our understanding and use of the feedback you provide.  We also may collect data from publicly available sources, such as U.S. Census data about your neighborhood, and store it with your profile.  And, of course, we collect the feedback you provide us.

We do not collect any information from you using automated means such as cookies, beacons, or online data analytics tools, so you will always be aware of the information you have given us. We use Google Analytics to tracks website referrals, user paths, and other visitor information.

Our website incorporates forms built using the Wufoo API, and Wufoo and its parent SurveyMonkey conduct automated tracking regarding their users.  Please refer to the Wufoo Privacy Statement and SurveyMonkey Privacy Policy. Our website uses Mailchimp for mail management and Twilio for text-based communications and information collection. Please refer to the Mailchimp Privacy Policy and Twilio Privacy Policy.

Cohorts Does Not Track You Online

Cohorts does not track you when you visit other websites or engage in other activities online, so we do not register "do not track" signals from your browser.

How Is Cohorts Members’ Personally Identifiable Information Used?

Cohorts (together with Ad Hoc LLC, its subcontractors, and its clients), uses Cohorts Members’ personally identifiable information to solicit, select, reward, and communicate with Cohorts Members, and in conjunction with evaluating and using the feedback you provide.  We will use your email address to send you messages.  We will use your postal mailing address in order to send you rewards, such as pre-paid debit cards, for participating in Cohorts.  We may use your mobile telephone number to send you text messages, if you have agreed to receive them.

With Whom Is Cohorts Members’ Information Shared?

Information collected from Cohorts Members is shared with Ad Hoc LLC, its subcontractors, and its clients, in connection with the development of software created by Ad Hoc LLC.  We also reserve the right to share or transfer your information in connection with a sale or other acquisition of Cohorts and/or Ad Hoc LLC, provided the acquirer agrees to honor this Privacy Policy.

We do not share your information for third parties to market to you, or for any other purpose that is not related to the development of software created by Ad Hoc LLC.

How Does Cohorts Protect Cohorts Members’ Information?

Only Cohorts employees, Ad Hoc LLC employees, their subcontractors, and clients who have a "need to know" may access Cohorts Members’ information stored in the Cohorts database, and everyone who is allowed to access Cohorts Members’ information has agreed to keep it confidential.  The Cohorts database is protected by two step verification when anyone accesses Cohorts or the tools with which we integrate, and by other technical and physical safeguards. 

These safeguards are reviewed periodically, to guard against unauthorized access to our systems.  Information submitted online through is encrypted in transit, and information stored in the Cohorts database also is encrypted.

Despite these protections, Cohorts cannot guarantee that your information will not be compromised, and Cohorts and Ad Hoc LLC expressly disclaim any liability for the loss or theft of information you provide us.

Children Should Not Provide Information to Cohorts is not intended for use by children under the age of 13, and Cohorts requests that children DO NOT provide information to us.  If Cohorts becomes aware that information has been submitted by a child, the information will be deleted from the Cohorts database.

Removal of Information From Cohorts Database

Cohorts retains information in its database indefinitely, unless you request that it be removed.  Cohorts Members may request removal of their information from the Cohorts database by contacting us at  Cohorts will delete your information as soon as possible, upon receipt of your request.  However, information that has been shared with Ad Hoc LLC, its subcontractors, or its clients prior to your request will remain in their possession.

Material Changes to This Privacy Policy

The "Last Modified" date, above, indicates the most recent date that any material changes were made to this Privacy Policy.  Information you provide us is governed by the Privacy Policy in effect on the date your information was submitted to Cohorts, so you should check for updates each time information is submitted to us.  We will not use your information except as provided in the Privacy Policy then in effect, unless you have specifically agreed to any later changes.
